MINUTES The Public Relations Committee Board of Trustees THE AMERICAN UNIVERSITY IN CAIRO May 23, 1984 Wednesday The River Club 3:30 Attending: Mr. MacDonald(Chairman), Mr. Bacon, Mr. Devine, Mrs. Thorne, Mr. Winder, Mr. Hayes, Mr. Hedlund, Dr. Pedersen, Ms. Morse Mr. Pulowski, Mxs. Yost 1. The agenda was approved. 2. The minutes of the last meeting were approved. 3.141z.Mac Donald opened the meeting with a survey of where the committee is now--what has it accomplished so far. Mr. Mac Donald defined the role of the committee in the U.S. as primarily to support fundraising in the U.S.. This is the committee's number one objective. The committee agreed. 4. The committee reviewed the status of the Press Kit. Mr. MacDonald noted that the work that has gone into preparing the Press Kit is worth about $8-10,000 if you had to pay for it. It ,is a basic tool, an information package which has general use for fundraising and government relations. The estimated cost of reproducing the Press Kit is $)2 a copy for 300. Ns. Morse thought using existing covers might reduce cost. She would check on number available. All agreed that it should be elegantly done. 5. Mr. MacDonald felt there is a need for a clearing mechanism in New York so that things can move faster. There needs to be someone who can give a go ahead on a proposed project quickly. Dr. Pedersen responded that basically all clearance must come from Cairo because there are considerations there that only Cairo can decide about. There is no way to avoid many of the delays that are involved in obtaining such clearance from Cairo. Mr. Hayes noted that there are three people at Mobil who are willing to meet with the press but will need prompt clearance to follow up on stories. 6. The Committee discussed TV Programming: three suggestions were raised for Committee consideration. 1) A three-part series of two minute film clips; estimated cost is $35,500 using Dr. Pedersen. Mobil had already determined that Dr. Pedersen would be good on film. 2)A fund raising film for benefit dinners; an 8-9 minute film to show corporate donors-estimated cost $7,500. Mr. MacDonald emphasized the usefullness of having such a film. 3)A 1/2 hr. documentary -estimated cost $36,500.. The total cost of TV Programs would be $81,000 but it would be possible to reduce this to $40-50,000 by usin
