This is an example venue requirements template document based on the Software Sustainability Institute’s experiences at Collaborations Workshops from 2013 to 2019 and the Carpentry Connect 2019 event. You can adjust this based on your own capacity and programme needs and perhaps you should use RFC 2119 terms to help you understand what is a must, what would really help and what is optional for your particular event instance.
