SOFTWARE IMPLEMENTATION IN CONSTRUCTION INDUSTRY : Case: Congrid – the vendor’s perspective to software adoption and implementation process

As the wave of digitalization has wiped over most industries and transformed their ways, construction industry still seems to be lagging behind on this development, especially in their information processes. The transformation is currently taking place, but multiple challenges arise when fitting digitalized solutions into a traditional industry with special characteristics. Congrid, a software company offering a solution for construction sites, has noticed the dilemma of scaling up software usage after introducing the tool to customer companies. Research around the subject in the context of construction industry has mostly been circling around the reasons for technology adoption and factors affecting it. The organizational and implementation processes have been focused on a lot less in this context, and the software vendor point of view has generally been researched to a low extent. These areas are combined in this thesis by examining, through a case on Congrid, the process of implementing a software to construction businesses from the viewpoint of the software vendor with an aim to make it adopted successfully. The aim is to as a final result develop a framework of software adoption factors and implementation process success factors in construction industry from software vendor point of view. The results show that software adoption factors of customers are in this context related to areas such as easiness and usefulness of the software, the software and the vendor answering customers’ needs, the relative advantage over alternative options, popularity of the software and similar software, the vendor’s and management’s support, the management’s decisions and their perception of the situation and usage, attitudes in the field and in the company, regulations, competition, limited resources, the project structure of business, and autonomy of individuals. Implementation process results indicate, that important factors throughout the process are management’s systematic effort, creating procedures, communicating in a structured and unstructured manner internally at all levels, communicating openly between users, decision makers, and vendor, defining clear roles in vendor firm and in customer firms, training users effectively, offering an easy communication path, effectively demonstrating the usefulness of the software and different features to users and decision makers, and proactively answering customer needs with all efforts in product and service level are noticeable themes throughout the phases.Digitalisaation aallon pyyhkäistyä useimpien alojen yli muuttaen niiden tapoja, vaikuttaa rakennusala kuitenkin laahaavan tämän kehityksen perässä, etenkin informaatioprosessiensa osalta. Muutos on tällä hetkellä tapahtumassa, mutta useita haasteita tulee eteen, kun sovitetaan digitaalisia ratkaisuja perinteiseen alaan erityisine piirteineen. Congrid, ratkaisua rakennustyömaille tarjoava ohjelmistoyritys, on huomannut ongelman ohjelmistojen käytön laajentamisessa asiakasyrityksissä ensimmäisen käyttöönoton jälkeen. Tutkimus aiheesta rakennusalan kontekstissa on keskittynyt pääasiassa teknologian omaksumisen syihin ja tekijöihin. Organisatorisia ja käyttöönoton prosesseja on tutkittu selkeästi vähemmän tässä kontekstissa, ja ohjelmistontarjoajan näkökulmaa on yleisestikin tutkittu hyvin vähän. Nämä aihepiirit yhdistetään tässä tutkielmassa tarkastelemalla Congrid -casen kautta onnistuneeseen omaksumiseen tähtäävää ohjelmiston käyttöönottoprosessia rakennusyrityksissä ohjelmistontarjoajan näkökulmasta. Tavoitteena on kehittää viitekehys ohjelmiston omaksumisen tekijöistä ja käyttöönottoprosessin menestystekijöistä rakennusalalla ohjelmistonkehittäjän näkökulmasta. Tulokset näyttävät, että asiakkaiden ohjelmiston omaksumisen tekijät tässä kontekstissa liittyvät aihepiireihin kuten ohjelmiston helppous ja hyödyllisyys, ohjelmiston ja ohjelmistontarjoajan vastaaminen asiakkaan tarpeisiin, ohjelmiston suhteellinen etu muihin vaihtoehtoihin, kyseisen ja samankaltaisten ohjelmistojen suosittuus, ohjelmistontarjoajan ja johdon tuki, johdon päätökset ja heidän käsityksensä tilanteesta ja käytöstä, asenteet alalla ja yrityksessä, säännökset, kilpailu, rajoitetut resurssit, liiketoiminnan projektiluonne sekä yksilöiden itsemääräämisoikeus. Käyttöönottoprosessiin liittyvät tulokset osoittavat, että tärkeitä tekijöitä koko prosessin läpi ovat johdon systemaattinen ote, toimintatapojen määritys, rakenteellinen ja epärakenteellinen kommunikointi kaikilla tasoilla, käyttäjien, päätöksentekijöiden ja ohjelmistontarjoajan välinen avoin kommunikaatio, selkeiden roolien määritys ohjelmistontarjoajalla ja asiakasyrityksissä, tehokas käyttäjien koulutus, helpon viestintäväylän tarjoaminen, tehokas ohjelmiston ja sen eri toimintojen hyötyjen osoittaminen käyttäjille ja päätöksentekijöille sekä proaktiivinen vastaaminen asiakkaiden tarpeisiin kaikilla tavoilla tuote- ja palvelutasolla.
